Factory Management Team Assistant at Mars
Job Purpose:
The role is directly responsible and accountable for:
· Provide administrative support to the Factory Management Team and Factory Director so as to achieve and maintain a high standard of performance at all times.
· Play a key role in assisting the Factory Director to fulfil all day to day coordination activities and administrative needs of the Factory Management Team
· Provide administrative support to the Factory Management Team and Factory Director so as to achieve and maintain a high standard of performance at all times.
Roles & Responsibilities:
· Provide administrative support to the Factory Management Team and their respective functions including co-ordination and scheduling of all meetings, consolidation of presentations, reports, etc.
· Provide support for all factory communication initiatives including organization of team meetings.
· Consolidate Periodic report on time and update FMT Meeting weekly meeting minutes.
· Provide assistance to the Factory Director with day to day tasks.
· Maintain and implements all Administration Procedures.
· Coordinate all factory tours for associates and visitors.
· Coordinate all travel management activities: act as the designated travel coordinator for all travel requirements for the Factory Management team associates.
(implement all travel related procedures in line with the travel policy and budget, including visa applications, invitation letters and other miscellaneous travel requirements.)
· Manage, coach and develop office administrators in OCT and Maadi regarding workplace practices and requirements in order to ensure they are updated and aligned with their job requirements.
· Supervise maintenance staff in order to ensure the execution of the required maintenance activities.
· Perform monthly audits in order to identify any outstanding workplace issues and Follows up on all required actions.
· Coordinate the implementation of local site projects and Global Workplace Effectiveness Project in line with Mars workplace effectiveness framework.
· Ensure proper and timely reviews are conducted to office equipment (ex.: photocopiers, printers, data shows, etc.) in order to maintain smooth working conditions.
· Coordinate the catering services and Monitors the quality of the catering supplier and take the appropriate action when needed in order to ensure catering standards are maintained.
· Provide recommendation for alternative catering solutions as required in order to ensure associates receive an excellent service level.
· Manage office administrators in OCT and Maadi regarding workplace practices and requirements in order to ensure they are updated and aligned with their job requirements.
· Ensure adequate supply of stationery, medical supplies, refreshment stock levels are maintained, office consumables in line with site needs.

Team Structure:
· The job holder reports to OCT Factory Plant Director.
· The job holder has no direct reports.
Education & Professional Qualification:
· B.SC. in Business administration or any relevant field.
Knowledge/Experience:
· 4-6 years of experience in administration.
· Excellent interpersonal and communication skills
Required Languages:
· English and Arabic: Fluent in speaking, reading and writing
