Office Manager at CI Capital
-Provide office management duties to Head of Investment Banking and the team, and to support, operations by maintaining complex secretarial and administrative responsibilities.
-Assume responsibility for the overall execution and planning of all travel logistics of the Head of IB and the team locally and abroad.
-Organize, plan, and coordinate meetings with internal/external stakeholders.
-Review and screen incoming correspondence, prepare outgoing correspondence, and process documents as required.
-Ensure all telephone call queries are dealt with in a timely and efficient manner, including handling and forwarding queries.
-Manage information flow into and out, including email prioritization, ensuring follow up with and engagement the appropriate employees as needed.
-Plan and coordinate complex documents and presentations for Head of IB and his team.
-Act as liaison between Investment banking and all of CI Capital Management and departments.
-Serve as the primary point of contact for all external stakeholders.
Performance Indicators :
-Provide direction and support to Head IB and the team.
-Maintain a strong follow up on pending matters and coordinate with the concerned people in order to get the matters accomplished.
-Establish, maintain and update a filing system which ensures that documentation is easily accessible.
-Prepare presentations, speaking notes and speeches for array of internal and external events.
-Relevant University Degree preferably.
-Not less than 3 years of experience in secretarial or administrative work
-Experienced with highly confidential information.
-High attention to detail.
-Strong problem solving ability.
-Positive, service-oriented attitude.
-High level negotiation skills.
-High Level communication and presentation skills.
